IxDA website transition update
Dear IxDA members,
We’re very excited about our new home on the internets, and hope you’re enjoying the new features. We are experiencing a few problems, but overall the transition of over 17,000 member accounts and introduction of a ton of new functionality has gone remarkably smoothly.
Some of the problems that we’ve identified and fixed so far include:
- Lost password requests
- Duplicate membership accounts
- Speed & chunking of email delivery
- Incorrect mapping of a previous subscription setting
Despite some vocal outcries around that last point, we wanted to let folks know that over 94% of IxDA members who have come on board the new site have left their subscription settings the way we set them. Also note that most issues of the kind listed above have to be investigated & resolved on an individual basis, and we are an entirely volunteer team, so we appreciate your patience & understanding. GVS has been a stellar partner, and has done wonders to troubleshoot these issues as well.
Some of the outstanding issues that IxDA & GVS are presently working to resolve include:
- Email formatting of “Daily” and “Weekly” notification
- Job posts don’t contain the job content
- Posting replies via email don’t always show up on the website
- Duplicate delivery of posts via email
Note that the top two issues were not identified as design priorities prior to launch; in a site this complex, naturally there are going to be a couple features that need Release 1.1 to get the design right! And of course, the feature requests are flying now too, but our focus is presently on resolving these email-related behaviors.

We're also working on processing the 175+ submissions (!) already sent in via the Contact Us form, responding to issues submitted through Get Satisfaction, and scheduling a training session (led by GVS & to be recorded for posterity) for Local Leaders, Moderators and Curators.

Sorry I missed this post earlier, Maureen. Your account has no active subscriptions at all. Go to your "My Profile" page, click "Notifications" and then "Add Subscription". Click the "Content type" link to see the different types of content you can subscribe to. You want "Node Type"="Discussion" for the typical subscription to the forum; you can also subscribe to Events and Jobs for a well-rounded set. "Send Interval" of "Immediately" sends them through as they are posted (with ~30 minutes latency). Let me know if you have any problems/questions!

happened to me too. I needed to do a new subscription so that I received the discussion mails again...(I wonder if it may comes from the fact that I've had two accounts with two different emails that have the same name but a different domain (e.g pierre.abel@a.com and pierre.abel@b.com) ?)

I think this issue is caused by emails not coming from the sender, but from discuss@ixda.org, it makes the job spam filters harder.
I also think there is still an issue of some emails coming through.

Here's a quick update. One big change you'll notice is that the "from" address for email notifications is now the original poster, not the generic ixda.org address. This is to conform more closely to the old list behaviour, as requested by a large number of members.
I understand that this has effected some people's email filters, so I apologize for not getting the word out sooner.
We have also rolled out an improvement to the digest email format. It's still not what it was on the old list, but it should be much better than it has been.
We're continuing to work on the ongoing email delivery problems for both outgoing list email and incoming mail (getting incoming mail onto the site). These are our top priority and will hopefully be resolved soon.
Thanks again for your ongoing patience during our longer-than-planned transition.

What's your solution for those of us who used email filters?
The old list had a consistent "to" address of "discuss@ixda.org" that could be used for filtering.
(using just "ixda" in the subject as a filter doesn't cut it, unfortunately.)

Hi Matt,
I think what jabbett mentioned also causes a strange behaviour from users who set an "Out of Office AutoReply" message. I posted a new thread an hour ago, and so far I got 35+ of those messages. Luckily they are not updated on the thread page itself, so I'm guessing all other users don't get them, but it didn't use to happen before and it's sort of unwanted any how. Hope this feedback helps the transition phase too.

Took me a while to figure it out, since "reply to" is not an available field when you create a new filter in gmail.
Go to "Settings" > "Filters" > "Create a new filter" (at the bottom)
Then in the "Has the words" field, use "replyto:(discuss@ixda.org)"

Is it possible to set up a test IxDA system? The reason for this is that issues like change of the sender have thrown many people's email filters, including mine. It is great to have the 'FROM' address back but if a test system with a fair number of testers on the system would have been able to identify this issue and therefore pre warn the email list of the change.
Such a system would be able to identify why certain emails are not get through to the system.
I am sure that there would be sizeable cohort of IxDA members that would volunteer to be test users, including myself. At work we actually have two systems, with the first used for internal testing and the second been used for external testing, but that may be overkill for the IxDA system.
It is important to test real users systems before deployment, as people real systems are far more different than what you will find in a test lab and the only way of doing that is by having some kind of test system set up. There are many browser and email client differences between users. You have Email Clients like Mail, outlook etc, and then WebMail clients like yhaoo, Live, and gMail to name a few. It would be far easier to test deployments using volunteers rather than try to test every combination
I am sure also that there are other members that could help in both getting sever space, and help in the deployment of such a system if there is not the budget left the IxDA to deploy one.

Thanks for the update. I didn't see on your list a note to address the problem of how the list is misusing the headers From and To.
I listed a few problems with the current set-up in my previous email, and I'd like to add two more:
the current use makes it impossible to know to whom a person is replying. In the traditional way of doing email if someone posts a comment in a thread and someone else replies that reply is directed To that person with a CC to the list. Thus I know when someone has responded to me versus responding to another participant in the discussion.
the current use makes it appear that all list messages are personal to me, which messes up some of the filtering and marking in email clients (such as mine) that attempt to distinguish personal messages from mass messages. I can program filters around it, but I consider it poor usability to require every user to create filters just to get back normal email functionality.
I suppose these problems are unique to me in that I almost never visit the ixda site itself and instead just interact through the list so perhaps they're less important than things that affect the majority of site users. However, I would very much like to see you address them in your "issues resolution" list.

I have posted a comment to discussion and it seems you distributed it to all IxDA members from my own address (!) because I received a ton of “Out of office” messages. This is completely unacceptable situation because many recipients may simply block my address as a source of spam!

I just received over 30 out of office emails as well. I wonder when they'll fixt this issue.
The out-of-office mail flood in response to posts is just awful, isn't it? Our development partners are working on implementing a server-side filter for this issue. This actually has long been a problem on the IxDA list, but we're hopeful that we can eliminate it at the source.
As for posting comments and distributing the actual address, that is the behavior the IxDA Discussion list has exhibited since its inception, while it was operating as a mailing list for the past seven years or so! We thought we'd have a new behavior with the new forum, but the change generated a flood of discontent and we have restored the previous behavior.

The issue is unfortunately still an issue.
Other listserves I'm active on explicitly set the "Reply-To" address -- this seems to work, correctly setting the default address in the auto-reply to the list itself. If I can nerd for a bit, do you know which module(s) the dev team chose for managing email recipt/sending/posting, and/or can you PM me a contact email address?
Misesd a further comment -- apparently yall are already setting the reply-to.
This is about the 1,000th time I've reset my password. Remains to be seen if it takes when I reboot.
Frank, for issues like this the easiest and fastest place to get help is the blue "Feedback" tab on the side of the site, this links into our Get Satisfaction help desk. For this instance, I'll contact you directly to fix your problem.

Today's "Out of Office Replies" - I bet those usually get filtered. They don't seem to be posting on the site, but they're definitely showing up in my inbox today.
This has been noted a few times and we're looking into the solution. It seems to be related to the fact the email is being sent with the original email address and some mail clients don't respect the "reply to" header that we set. If these were being sent back to the "reply to" address they would be almost entirely filtered out.
We will continue to post updates as we figure this one out.
+1 on the out of office reply thing.
Guess it serves me right for posting over the Easter break eh?
